BACKGROUND
The Open Society Foundations are the major nongovernmental supporter of efforts to improve the economic and social inclusion of Roma in Central and South Eastern Europe. Over the last 15 years, the Open Society Foundations’ Roma-related programs have worked on a wide range of issues, including equal access to quality education, women’s empowerment and gender equity, public health, civic and political participation, media access and development of Roma media, promoting tolerance, cultural diversity, and challenging anti-Roma prejudice.
The Open Society Roma Initiatives, a group of coordinating, grant-making, and operational programs within the Open Society Foundations, are dedicated to promoting the equality and integration of Roma, Europe’s largest ethnic minority. The Roma Initiatives facilitate dialogue and exchange to enhance the grant-making and knowledge of Open Society programs that work with Roma communities. In the area of grant-making, the Roma Initiatives provide general institutional development grants to Roma nongovernmental organizations and grants for specific projects addressing the priority focus areas in countries covered under the current Roma Initiatives strategy.
The Open Society Foundations are the major supporters of the Decade of Roma Inclusion. The Open Society Roma Initiatives guide and coordinate all aspects of Open Society Foundations programming and grantmaking activity related to Roma within the framework of the Decade.
RESPONSIBILITIES
Working in close cooperation with Roma Initiatives staff, the Administrative Assistant will share responsibility for all day-to-day administrative tasks, especially processing of grants, and communication with grant applicants and partner organizations. The Administrative Assistant will report to the Office Manager of the Roma Initiatives.
· Registering all grant applications;
· Prepare and keep up-dated an overview/summary table of registered grants by date and program areas;
· Processing approved grants and payments;
· Communication with grantees and partner organizations;
· Roma Initiatives related office assistance and administration (vacation registration, sign-in sheets, staff travel arrangement, VISA expense accounting);
· Coordination with the relevant OSI administrative unit;
· Filing and archiving, electronic cataloging of all Roma Initiatives files;
· Other duties as assigned by the Program Director.
Requirements
· Bachelor’s degree, preferably in social sciences;
· Minimum 2 years of relevant job experience;
· Flexible, proactive self-starter with problem solving attitude;
· Diplomatic manner and disposition in interacting with senior management, co-workers, grantees, partners and other contacts;
· In-depth knowledge of situation of Roma from Central and South Eastern Europe is a strong plus;
· Excellent Hungarian and English language skills; knowledge of Romani and/or another language of Central or South Eastern Europe is a plus;
· Excellent computer skills (expertise with Microsoft Office, Excel, Access and databases) are required.
